This is the short recurring checklist to follow every month. Not the deep explanation of every tool. Not the full training for every feature. Just the clean sequence that keeps your system alive and accurate.

Monthly Checklist
Work through each step in order. Click a step to mark it complete. Click the expand button to read the detail for any step.
Pull the previous month's transaction history from every bank account, credit card, or active financial account you track.
- Keep one file per account
- Use your consistent naming convention
- Make sure the date range is correct
- Pull posted transactions only — not pending
This is the first domino. Everything after this depends on clean source files.
Open the Account Upload Center and bring each file into the correct upload tab for that account. This is where your raw bank export gets turned into clean, reviewable transaction data.
Move one account at a time — always know which file you are importing, which upload tab you are using, and whether you are working in Personal or Business. Clarity here prevents almost every downstream mess.
Before approving anything, confirm that the upload is reading correctly. Check:
- The file type
- The account type
- Whether the signs are correct
- Whether expenses and income are behaving the way they should
If the source is a credit card or another reversed-sign export, make sure the system is treating it appropriately before moving forward. If something looks backward, off, incomplete, or duplicated — fix it here, before it enters the real system.
Once the upload is clean and approved, move the finalized rows from the Upload Center into the matching account tab inside your actual Personal or Business system.
- Copy only the newest finalized block
- Paste into the correct account tab
- Paste into the correct columns
- Use Paste values only
This is the bridge between imported data and your real working system — it deserves attention every time.
Open the newly added rows and categorize them fully. This is where the system stops being a pile of transactions and becomes a useful financial picture.
- Choose the right lane first: Personal or Business / Special Label
- Use consistent categories for recurring merchants
- Add memo notes only where they help future-you
- Slow down on unusual rows instead of forcing quick answers
This is the core habit that makes the reports worth trusting.
As part of categorization, label applicable spending as Need or Desire. You are not trying to win a philosophical debate. You are simply helping the system show you:
- What was essential
- What was chosen
- Where flexibility may exist later
Done consistently, this gives your spending much more meaning over time.
Before calling the month complete, pause on anything that does not behave like ordinary spending or ordinary income. This includes:
- Transfers
- Credit card payments
- Refunds / returns / reimbursements
- Ignored rows
- Split transactions
- Anything unusual, circular, duplicated, or structurally different
These rows need clean handling, not rushed categorization — because they affect the truth of your totals.
Now that the transactions are in and categorized, review the system at three levels:
- Dashboard — your quick current snapshot
- Monthly Overview — understand the previous month clearly
- Yearly Overview — make sure the bigger picture still feels believable
If something looks off here, go back to the transaction level before trying to interpret the report more deeply.
If the month changed anything meaningful, update your planning pages too. That may mean:
- Checking off paid recurring bills
- Adjusting bill details
- Updating savings progress
- Reviewing savings goals and priorities
- Entering current saved amounts more accurately
These pages work best when they stay connected to real life, not just to your ideal plan.
Do not rely on memory for the things that felt confusing. If something came up during the month that needs clarification, write it down while it is still fresh:
- A workflow question
- A recurring merchant you keep second-guessing
- A report that still feels odd
- A structural issue you want reviewed
- A habit you want help simplifying
This is one of the easiest ways to stop small confusion from compounding month after month.
Best Practice
Do this monthly checklist close enough to real time that the month is still familiar to you. The farther behind you get, the harder every row becomes to remember — and the more emotional resistance builds around the process.

You'll know your month is complete when:
- Every active account's previous month has been downloaded
- Each file was uploaded into the correct Account Upload tab
- Signs and account type were checked before approval
- Finalized rows were moved into the correct account tabs
- New transactions were categorized
- Needs vs. Desires were marked where appropriate
- Transfers, refunds, and unusual rows were reviewed carefully
- Dashboard, Monthly Overview, and Yearly Overview all feel believable
- Bill Tracking and Savings were updated where needed
- Any lingering questions were written down for support or your next coaching call
