You did brilliant work logging in and finishing registration — but if your downloaded statements are still scattered across a Downloads folder next to old vacation photos and a PDF from three years ago, you're about to spend more energy hunting for files than actually managing your money. That's not a discipline problem. That's a workspace problem, and it's a five-minute fix.

This tutorial builds the environment around Money Mastery so the system itself can stay this simple every single month. Set it up once, right now, and you'll never think about "where does this go" again.

That's fine — everything below stands on its own. You started a rough downloads folder back in that checklist, but if you're here first, just create it fresh as you go.

Step 1 — Build One Home for Every Download

Create a folder on your computer called something clear and simple — Money Mastery Downloads is perfect. This becomes the one place every bank statement, credit card export, and PDF lands before it ever touches your sheet.

If you want a little more structure, create subfolders inside it. Use only the split that actually matches how your life is organized:

Use only the subfolders that match your situation — you don't need all four.
Solo business owner? You probably only need Personal and Business. Using mostly CSVs? Skip the PDF folder entirely. The right structure is the one you'll actually use.

Step 2 — Build One Home for Every Login

In your browser, bookmark every login you touch for Money Mastery, then gather them into a single folder on your bookmarks bar. The goal: your entire financial world — every login, every sheet — is reachable in one click, from one place, without a single search.

Bookmark these:

  • Your Money Mastery shared folder
  • Your Personal system
  • Your Business system (if applicable)
  • Both Account Upload sheets
  • Every bank and credit card login you touch regularly

The single most common source of "I can't find my sheet" messages is not having it bookmarked. Do this now, before you close this tab, and it becomes a non-issue permanently.

Step 3 — Name Files Like Future-You Will Thank Present-You

Pick one naming pattern and use it every time you download a statement. The exact format matters less than the consistency.

Six months from now, when you're scanning a folder trying to find February's numbers, this tiny habit is the difference between finding it instantly and opening four wrong files first.

Step 4 — Choose One Upload Method Per Institution, Then Stop Deciding

This is the step people most often skip, and it's the one that quietly causes the most friction later. For each bank or card, decide right now which method you'll use:

CSV — Manual
Download a .csv from your bank, drag it into the Account Upload sheet.

Download a PDF statement, paste transactions by hand.

AI-Assisted PDF
Upload a PDF through the Account Upload flow — AI extracts the data for you.
Recommended
AI-Assisted PDF — Upload once, the system extracts everything. Best choice if your bank exports clean PDFs.
Don't switch methods mid-stream. Using CSV one month and AI-assisted PDF the next for the same account creates cleanup work, because the system learns to expect consistency from each source. Pick a method per institution and keep it.

You are not choosing the "best" method. You are choosing the method you will actually repeat without thinking about it every month — and that single decision is what makes this system feel effortless instead of exhausting.

What to Check When You're Done

All four, then you're set
  • You have one folder, on your computer, where every future download will land — no exceptions
  • You have one bookmarks folder where every login and every sheet lives
  • You've decided (even just mentally) which upload method belongs to which institution
  • Your file names already tell you what's inside them before you open one
A small reassurance

If your bank changes its export format six months from now and your consistent method suddenly stops working cleanly, that's not you doing something wrong — that's just banks being banks. Adjust the method for that one institution and move on. Consistency is the goal, not perfection, and one exception doesn't undo the system you just built.
